Register Shared Folder

When you have existing shared folders that need to be brought under EmpowerID management, you can register them to enable access control, governance, and centralized administration. This creates an EmpowerID resource object mapped to your existing physical shared folder, allowing you to manage access while maintaining full audit visibility.

Before You Use This Workflow

Access Requirements: You must have appropriate access to register shared folders.

Use this workflow when you have existing shared folders that need EmpowerID governance, when migrating file shares to centralized management, or when establishing access controls on previously unmanaged folders.

Before You Start

Make sure you have:

  • Knowledge of the existing shared folder location and properties
  • Understanding of the current folder structure and access requirements
  • Information about the computer hosting the shared folder
  • Decisions about how the folder should be managed within EmpowerID

Get Started

  1. Navigate to the Resource Admin portal.
  2. Select Shared Folders from the resource type menu.
  3. Click the Workflows tab.
  4. Find and click Register Shared Folder. Register Shared Folder Workflow

Step 1: Select Computer for Shared Folder

Select the computer that hosts the existing shared folder you want to register.

Select Computer

  1. Search for and select the target computer:

    • Enter search criteria in the search field.
    • Click Search to load available computers.
    • Select the computer that hosts the existing shared folder by checking the box next to it.
    • Uncheck Wait to see results to create a collaboration task in My Tasks that you can complete later. This will end the current workflow session.
  2. Click Submit to proceed to folder configuration.

Step 2: Configure the Shared Folder Registration

  1. Enter the details of the existing shared folder to register it in EmpowerID. Register Shared Folder Form
    • Is Shared: Check this box to confirm the folder is available as a network share (checked by default).
    • Is Hidden: Check this box if the share is hidden from network browsing.
    • Local Path: Enter the complete local path of the existing shared folder on the selected computer.
    • Share Name: Enter the current network share name that users see when accessing the folder.
    • UNC Path: The Universal Naming Convention path is automatically generated based on the computer and share name.
    • Description: Add details about the folder's purpose, contents, or business use.
    • Uncheck Wait to see results to create a collaboration task in My Tasks that you can complete or cancel later.
  2. Click Submit to register the shared folder.

What Happens Next

  • The existing shared folder is registered as an EmpowerID resource object.
  • The folder becomes available for EmpowerID access control and governance.
  • You can now configure access policies for the folder.
  • All access to the folder becomes fully auditable through EmpowerID reporting.
  • The folder appears in Resource Admin for ongoing management and access control configuration.

If You Run Into Problems

Folder path doesn't exist: Verify the local path points to an existing shared folder on the target computer. Check that the folder is actually shared on the network.

Can't access the target computer: Verify the computer is online and accessible. Check that you have administrative permissions on the target system.

Share name conflicts: Ensure you're entering the exact share name as it appears on the network. Case sensitivity may apply.
