User Experience - Email Notifications
When users request access to resources through the IAM Shop, they generate Business Requests, which in turn trigger notification events in EmpowerID. These events may include approvals, comments, or access changes, and can result in multiple email notifications being sent to initiators, approvers, managers, or other involved parties.
To help manage notification volume, EmpowerID allows users—if permitted by organizational policy—to configure their own email notification preferences in MyIdentity. This includes enabling or disabling email delivery, adjusting the frequency of digest reports, and selecting the types of emails they wish to receive.
In addition, Expiring Access Notifications alert users of any access rights nearing expiration, giving them time to request renewals or take corrective action.
To access and update email notification settings, users must have the appropriate role that grants access to MyIdentity and its Email Notifications view.
Access the Email Notifications Page
In MyIdentity, click the Page drop-down menu and select Email Notifications.
This opens the configuration page with settings to control:
- Whether email notifications are enabled at all
- Whether to receive event notifications, digest reports, and risk reports
- The frequency of digest and report emails
Enable or Disable All Email Notifications
To stop receiving all email notifications, toggle the global Email Notifications setting to No. To receive notifications, toggle it to Yes.
Configure Event Notification Preferences
Users can individually control whether they receive email notifications for specific event-based scenarios. Toggle Yes or No for each of the following categories:
- Events related to Business Requests where the user is:
- The initiator
- An approver
- A target person
- A potential approver
- The manager of the initiator
- The manager of the target person
- A commenter on the request, item, or approval
These options give users fine-grained control over which real-time event emails they want to receive.
Configure Digest Email Preferences
Users can receive digest emails that summarize activity across various categories. Digest emails can be configured with the following settings:

Categories:
- Reports on open or recently closed requests involving the subscriber
- Reports on requests initiated by the subscriber
- Reports on pending To Do tasks
- Reports on access that will expire soon

Frequency:
Daily
Weekly
Monthly
Quarterly
Yearly
Users select Yes to enable digest emails and choose the desired frequency.
Configure Function and Risk Report Emails (If Applicable)
If the user is assigned as a local risk owner or function owner, they may configure whether to receive associated reports and how often.
- Toggle Yes to receive these reports by email.
- Choose a delivery frequency:
Daily
Weekly
Monthly
Quarterly
Yearly
Results and Behavior
All changes to notification preferences are applied immediately. Users can return to the Email Notifications page at any time to adjust preferences as their needs change.
