Edit Application Owners

As an application owner, you can assign or remove the owners, deputies, and responsible party for a Microsoft Entra application. Owners have full management rights, deputies act on behalf of the owner with the same Configuration Owner role in Microsoft Entra, and the responsible party is the designated point of accountability used for internal tracking and notifications.

Steps to Edit Application Owners or Deputies

  1. Log in to the Resource Admin portal.
  2. From the Resource Type dropdown, select Applications.
  3. Search for the application you want to update.
  4. Click the gear icon on the application record and select Manage Application Wizard.

  5. Under Select Options, select Edit Owners and Deputies.

  6. Click Next.
    The Edit Who Can Manage this Microsoft Entra Application form opens.

  7. To assign a Responsible Party, enter the user's name in the Responsible Party field and click the user to select them.
    To remove the current Responsible Party, click the X in the field to clear the value.

This field is used for internal accountability, notifications, and reporting. It does not affect Microsoft Entra permissions.

  1. Under Add or Remove Microsoft Entra Application Owners and Deputies, make your changes:

    • To add an owner: In the Microsoft Entra Application Owners field, enter the name of the user or group and click to select them.
    • To remove an owner: Click Remove next to the user or group in the Microsoft Entra Application Owners list.
    • To add a deputy: In the Microsoft Entra Application Deputies field, enter the name of the user or group and click to select them.
    • To remove a deputy: Click Remove next to the user or group in the Microsoft Entra Application Deputies list.
  2. In the Native Owners Without Access Rights to Application section, review users who are currently assigned as owners but no longer have access to the application in Microsoft Entra. Click Remove next to any user you want to unassign from this section.

  1. When all edits are complete, click Next to continue.
  2. Review the Operation Execution Summary confirming the update completed successfully.
  3. Click Submit to continue.
  4. On the Finish or Start Over Workflow screen, choose one of the following:
  • Manage the same Microsoft Entra application(s)
  • Manage different Microsoft Entra application(s)
  • Finish the workflow Finish or Start Over Workflow
  1. Click Submit to confirm your choice.

You'll be redirected based on your selection — either back into the wizard or out to the Workflows page.

What Happens Next

  • Owners and deputies are updated in both EmpowerID and Microsoft Entra ID. New owners and deputies receive the Configuration Owner role in Microsoft Entra.
  • Responsible Party changes are internal to EmpowerID and are reflected immediately for tracking, notifications, and reporting. They do not affect Microsoft Entra permissions.
  • All changes are logged in EmpowerID's audit trail for compliance and visibility.
