User Experience - Respond to Business Requests

When users log in to My Tasks, they can respond to business requests in several ways. This guide explains the different ways to respond to requests and the steps involved in each process.

Approve a Request

To approve a business request, follow these steps:

  1. Navigate to the To Do page.
  2. Find the request you want to approve in the list.
  3. Click on the request to open its details.
  4. Review the request details and any associated items.
  5. Click the Approve button.
  6. Optionally, add a comment explaining your decision.
  7. Click Submit to complete the approval.

You can also approve requests from the My Requests page if you are the requester.

Reject a Request

To reject a business request, follow these steps:

  1. Navigate to the To Do page.
  2. Find the request you want to reject in the list.
  3. Click on the request to open its details.
  4. Review the request details and any associated items.
  5. Click the Reject button.
  6. Add a comment explaining your decision (required for rejections).
  7. Click Submit to complete the rejection.

Rejecting a request will prevent it from being processed further. Make sure you have a valid reason for rejection and provide clear feedback in your comment.

Delegate a Request

To delegate a business request to another user, follow these steps:

  1. Navigate to the To Do page.
  2. Find the request you want to delegate in the list.
  3. Click on the request to open its details.
  4. Click the Delegate button.
  5. Search for and select the user you want to delegate to.
  6. Optionally, add a comment explaining the delegation.
  7. Click Submit to complete the delegation.

You can also set up permanent delegations for specific types of requests or time periods.

Add Comments

You can add comments to any business request at any time:

  1. Navigate to the request details page.
  2. Scroll to the Comments section.
  3. Enter your comment in the text box.
  4. Click Add Comment to submit.

Comments are visible to all users involved in the request and can be used to provide context or ask questions.

View Request History

To view the history of a business request:

  1. Navigate to the request details page.
  2. Click on the History tab.
  3. Review the list of actions taken on the request, including approvals, rejections, delegations, and comments.

The history provides a complete audit trail of all actions taken on the request, which is useful for compliance and troubleshooting.
